The communication system provides a voicemail mailbox where callers can leave messages. The mailbox automatically answers calls that you do not pick up within the predefined time (typically 15 seconds).
Turn voicemail on or off.
You can turn the VoiceBox on or off either using a feature code directly on the phone or through the web-based IPO-Self Admin Portal.
Feature codes:
- Select the following feature codes either on the hardware phone or from the communicator:
- *18 – to activate the VoiceBox
- *19 – to deactivate the VoiceBox
- After dialing, a beep will sound to confirm the action has been completed.
VoiceBox via Phone:IPO-Self Admin Portal
(1) Under the “Call Handling” section in the IPO-Self Admin Portal, you can (2) turn the voicemail function on or off. (3) Save the settings.
VoiceBox PIN and Email Configuration
The VoiceBox PIN is only required for checking voicemail from a different extension.
(1) First, set up your (2) PIN in the IPO-Self Admin Portal.
(3) If desired, you can have recorded voicemail messages sent to your specified email inbox.
(3) Optionally, voicemail messages sent to your email inbox can also be automatically deleted.
(!) Save the settings.
Record an announcement
For dialing out, for example, from a private connection, you must first have set a PIN..
Announcement directly on the telephone handset
By pressing the Message button on your phone, you will enter the following menu:
Listen
Existing voicemail messages can be listened to again, deleted, or archived.
Message
Record your own voicemail message(s) and send them internally to other participants.
Greeting
Record your VoiceBox greeting message.
- Press the “Record” softkey to record the desired greeting.
- Press the “Stop” softkey to end the recording.
- Press the “Listen” softkey to review the recorded greeting.
- Press the “Send” softkey to activate/save the recorded greeting.
- Press the “More” softkey, then the “Delete” button to restore the default greeting.
PIN
Change your voicemail PIN.
If you lose your voicemail PIN, it can be reset through the IPO-Self Admin Portal.
E-Mail
Enable/configure the option to send incoming voicemail messages to your email address registered in the IPO-Self Admin Portal.
Voicemail
From an external phone number.
Make sure that the VoiceBox is activated and the PIN code is set up in the IPO Self Admin.
- Call your HWR phone number: +49 30 30877 XXXX
- Wait for the VoiceBox to play your greeting message.
- Interrupt the greeting by pressing the 8 key.
- You will be prompted to enter your PIN.
- Finish entering your PIN by pressing the # key.
- Press 3 for the greeting message menu.
- Press 2 to record a greeting message.
- Press 2 to stop the recording.
- Press 3 to save the recording.
- Optional: Press 4 for a looping greeting message.
